Clients trust you with drawings, budgets, source files and a mountain of email threads. The last thing they want is a file turning up on a personal Gmail or under an open Google Drive link. This report gives IT and security a quick pulse: Which machines spent real time in personal email today? Who shared something over WeTransfer?
How MonitUp finds risky activity
1. Gather the signals
The MonitUp agent logs every window title, domain and active-seconds count. It never reads the file itself, only the behavior.
2. Tag what matters
Known domains and keywords drop each row into Personal Email, Cloud Drive or File Transfer. Words like “Upload” or “Download” raise a flag so they stand out later.
3. Score the day
For every machine, the report adds minutes in each category and multiplies by a weight you control. A little Gmail time is fine. Ten solid hours on WeTransfer is not.

Tips for a smooth rollout
- Limit access to admin and security roles.
- Add meaningful filters: company, date range and (if needed) a single device.
- Keep the default thresholds of five minutes and one flag, then tune after a trial week.
- Export the CSV once a month for an audit trail.
Privacy notes
- The agent stores titles and domains, not email bodies or file contents.
- Low-resolution screenshots are shown only to authorized staff.
- Be clear with employees. Honest notice and consent build trust and meet GDPR or PDPL rules.
FAQ
Is upload or download detection foolproof?
It’s a best-effort signal, good enough for first triage. If you need a deeper look, open the screenshots or run a full DLP scan.
Which platforms are covered out of the box?
Gmail, Outlook, Yahoo, iCloud Mail, Google Drive, OneDrive, Dropbox, Box, Mega, Synology Drive, WeTransfer, transfer.sh, file.io and a few more. You can add your own domains in Settings.
Who sees the report?
Only people with the PolicyMonitoring role. Access is logged.
Does MonitUp also track productivity?
Yes. The Productivity panel is still there, measuring focus apps and idle time.
